Adhering to the policies and guidelines outlined in this manual is essential to translating our core values into daily professional practice. 

Application #

  • These policies apply to all licensed associates affiliated with Denovo Realty. 
  • If law, FREC rules, NAR Code of Ethics, or MLS rules conflict with this manual, the higher standard applies.
  • Each agent will receive their own copy of this policy manual, and it will live on our Denovoagents.com website. 
  • The Broker reserves the right to change this policy and will promptly communicate any updates to all parties involved. 

Team & Team Affiliations  #

Forming a Team  #

All team affiliations should be submitted to management for approval. The team name should not include words suggesting the group is separate from Denovo Realty. See our Team Policy and Team Checklist.  

Advertising as a Team  #

In advertisements containing the team name, the name shall not be in a larger print than the brokerage. 

Commission Agreements #

Team Commission Agreements are to be in writing, signed by each member, and on file with the brokerage. Denovo Realty will determine each team member’s commission structure with the brokerage.

Changes to Teams #

Denovo’s Broker must be notified immediately of the departure of any team member. 

Minimum Production Standard #

Agents are expected to maintain at least one active transaction within any rolling six (6) month period to remain classified as an active sales agent.

For the purposes of this policy, an active transaction is defined as any of the following in which the agent is a named participant:

  • A residential or commercial transaction under contract
  • A closed transaction
  • A listing agreement is currently in effect

Internal referrals, prospecting activity, training attendance, or pipeline discussions do not constitute an active transaction unless they result in one of the above.

Agents who do not meet the activity requirement may be subject to termination or transitioned to Denovo Realty’s Referral Network (Portanova Exchange), which allows agents to:

  • Maintain their license with the brokerage
  • Earn referral fees in accordance with company policy

Approval of reactivation is subject to Denovo Realty’s discretion.

Transaction Management  #

Denovo Realty requires the use of our in-house Transaction Coordination services on all transactions. A $175 transaction coordination fee will be charged per transaction and applies to all residential and commercial sales, including new construction and vacant land where Denovo Realty represents the buyer or seller.

This fee covers administrative transaction support, including, but not limited to, file compliance, document management, contract timelines, and coordination with all parties through closing.

Use of the designated transaction coordination process is mandatory for all Sales Associates. Outside or self-managed transaction coordination is not permitted unless expressly approved in writing by the brokerage.

The transaction coordination fee will be deducted at closing and reflected on the commission disbursement.

Primary Residence Sale #

The Associate may choose to receive compensation, no compensation, or a compensation credit on the transaction. For transactions involving the Associate’s primary residence, the Associate will be compensated at

100% of the commission. A $175 transaction fee will be paid to Denovo Realty.

Personal Investment Property  #

This program is designed to support agent-investors while keeping expectations clear and easy to understand.

Applicable For #

  • Agents who personally invest in real estate. 
  • Properties purchased in your personal name or an LLC (including partially owned LLCs)
  • You must be an active, producing agent with Denovo Realty.

Production Requirement #

To qualify for and remain eligible for this program, you must have closed at least 12 traditional (non-investment) transactions within the most recent rolling 12-month period.
Personal investment transactions do not count toward this requirement.

The Fees #

For qualifying personal investment transactions:

  • $395 brokerage fee per closing side
    • $395 when you buy
    • $395 when you sell
  • The standard $175 transaction fee per side still applies, just like any other transaction.

Annual Limit (Anniversary Year) #

  • The reduced $395 brokerage fee applies to up to 2 investment properties per anniversary year
  • Each property counts as one, even though it involves two sides (buy + sell)
  • The program resets each anniversary year

Vendors & Affiliated Business Relationships  #

To maintain transparency and comply with RESPA and state regulations, agents must disclose any affiliated business relationships or personal interests that could influence, or appear to influence, client recommendations.

When recommending inspectors, lenders, attorneys, contractors, or other vendors, agents should provide at least three options whenever possible so clients can make informed decisions.

Agents must ensure that recommended vendors are properly licensed, carry E&O,  and have liability insurance.

Written disclosure is required if:

  • You have an ownership interest, financial stake, or receive compensation from a settlement service provider.
  • You refer a client to a business in which a family member, partner, or close associate has a financial interest.
  • Any personal or business relationship that could create a real or perceived conflict of interest exists.

When disclosure is required, agents must:

Agents may not accept referral fees, kickbacks, or any form of compensation for recommending a settlement service provider, as prohibited by RESPA.

Leading RE  #

Denovo Realty is a proud member of Leading Real Estate Companies of the World® (LeadingRE), an outbound referral platform that offers agents a trusted, streamlined system for connecting clients with high-quality real estate professionals across the country and around the world. Denovo invests in this service to enhance agent success and client experience. This network ensures proper tracking and follow-up, and protects referral agreements through an established, reputable system.  

All outgoing referrals must be submitted through Leading RE in order to remain compliant with our Leading RE written agreement.  Agents must consult with the Managing Broker in regards to sending a referral outside of LeadingRE to ensure compliance with Denovo’s referral procedures and documentation requirements.

Incoming Referrals #

 All incoming referrals through Leading RE are subject to a 30% referral fee in which 24% is given to referring brokerage and 6% to LeadingRE. In addition, 5% of the entire purchase price will be lead generation fee. The balance of the commission will be split between Denovo Realty and the associate at the associate’s customary split. When a referral is accepted, Denovo agents are expected to follow up immediately and provide periodic updates. 

After the fees are deducted, the remaining commission is split between Denovo Realty and the associate according to the associate’s customary commission split.

Agent Responsibilities:
Upon accepting a referral, Denovo Realty associates are expected to:

  • Follow up with the client immediately
  • Provide regular status updates to the referring party throughout the transaction

Outbound Referrals  #

The Denovo agent will receive a 24% referral fee for all outgoing referrals through Leading RE. A 6% fee will be paid to Leading RE. The remaining commission will be paid to the receiving brokerage and agent, with the Denovo associate’s referral fee paid at the associate’s customary split. Upon submitting an outgoing referral, Denovo agents are expected to remain available for communication and provide any requested information to ensure a smooth transaction.

Code of Conduct  #

Dress Code  #

Our office welcomes a wide range of guests each day—including clients, vendors, mobile closing teams, training participants, and prospective team members. Because these interactions occur regularly, it is important that both Agents and Staff present themselves in a manner that reflects our professionalism and care.

Agents are expected to wear business-casual attire. This dress code applies during time spent in the office as well as at company-sponsored events.

Not Appropriate:

  • Athleisure: (including but not limited to) sport bras, yoga pants, or other gym attire
  • Sweatpants, or Pajama-Type clothing 
  • Shirts with explicit graphics, offensive language, or advertising of adult content.
  • Overtly revealing clothing including crop tops, short shorts, (keep in mind what you would wear with clients)

Social Media Policy #

This policy defines the guidelines, responsibilities, and procedures for managing Denovo Realty’s official social media presence. It ensures all content aligns with the company’s values and branding while empowering agents with high-quality marketing tools.

Oversight & Brand Management #

  • The Denovo Realty Marketing Team has full oversight and control of all official company social media accounts, including Instagram, Facebook, LinkedIn, and YouTube.
  • All posts published under Denovo Realty’s brand must reflect the company’s voice: elevated, intentional, professional, and community-focused.
  • All content must align with Denovo’s core values: Collaborate Without Ego, Always Improve, Deliver Exceptional Service Systematically, Own the Outcome.

Account Access & Security #

  • Access to Denovo Realty’s social media accounts is limited to approved staff within the marketing department.

Content Development & Scheduling #

  • Content for Denovo Realty’s social media is developed and scheduled exclusively by the marketing team.
  • Posting is limited to a maximum of three posts per day, with one post per day as the ideal standard to ensure quality and avoid audience fatigue.
  • The team is responsible for reviewing engagement metrics and optimizing content calendars based on performance, trends, and strategy.

Listing Content Policy #

To ensure a premium, curated social media presence and brand consistency, Denovo Realty has adopted the following approach to property listing content:

No Listing Requests on Company Pages #
  • Agents may not request that their property listings be posted to Denovo Realty’s main social media accounts.
  • This change is designed to protect the visual identity, ensure strategic content timing, and elevate the overall brand experience.
  • Collaborative posts and tagged posts are reviewed and selected at the discretion of the Marketing Department

Marketing Team Curated Posts #

  • The marketing team will select certain listings to feature on the company’s social channels based on:
    • Strategic alignment
    • Brand fit
    • Timing within the content calendar
    • Visual quality of available marketing assets

Benefits of This Policy #

  • Maintains a high-end, cohesive brand image across all channels.
  • Empowers agents with beautiful, ready-to-use content.
  • Keeps Denovo’s main channels focused on strategic engagement content.

Personal Social Media Guidelines for Agents #

Agents are encouraged to actively represent Denovo Realty on their personal platforms while adhering to the following standards:

  • Use marketing assets provided by the Denovo team to maintain brand alignment.
  • Do not post anything misleading, offensive, or inconsistent with the Denovo brand.
  • Here’s a refined version that keeps it professional while clearly setting boundaries:
  • Tag @denovorealty in relevant posts for potential resharing in stories.
  • Include appropriate disclosures or affiliations where required by law or ethics guidelines.
  • Team members, including staff and agents, may not use any Denovo logos in connection with personal or lifestyle content, including imagery that may be considered inappropriate, suggestive, or inconsistent with Denovo’s professional brand standards and core values.

Artificial Intelligence  #

Use AI with caution: #

Although AI can be used to increase operational efficiency, risks remain—from data bias and privacy concerns to a lack of clear, consistent rules. 

Denovo agents are expected to comply with MLS rules and data license agreements when using Artificial Intelligence. 

Do not use AI to:  #

  • Provide legal, tax, or financial advice to clients.
  • Draft custom contract language or alter Florida Realtors® / Florida Bar forms. 

Discrimination & Harassment  #

Sexual harassment and other unlawful harassment are violations of Title VII of the Civil Rights Act of 1964 and are not tolerated within Denovo Realty.

This policy applies to conduct between agents, staff, and in all business-related interactions with clients, customers, vendors, and other real estate professionals, including electronic communications and social media.

Unlawful Harassment includes unwelcome conduct based on any protected characteristic that:

  • Creates an intimidating, hostile, or offensive environment;
  • Interferes with a person’s ability to work or conduct business;
  • Made a condition of employment, association, referrals, or continued affiliation.

Sexual Harassment includes: 

  • Unwelcome sexual advances, requests for sexual favors, and other verbal, visual, or physical conduct of a sexual nature.

Denovo agents are prohibited from treating any person differently based on race, color, religion, sex, gender identity, sexual orientation, disability, familial status, national origin, or any additional protected classes recognized by Florida law or local ordinances.

Denovo Realty prohibits any form of retaliation against any employee or agent who, in good faith:

  • Reports harassment, discrimination, or misconduct;
  • Reports conflicts or issues between agents or staff; or
  • Participates in or cooperates with an investigation.

Disability #

Consistent with our standard of exceptional client experience, Denovo Realty affirms its responsibility in providing reasonable accommodations for known disabilities. 

Agents shall treat all clients with the same respect and due diligence.

Agents are expected to comply with all applicable federal, state, and local laws related to disability rights, including but not limited to:

  • The Fair Housing Act and The Americans with Disabilities Act.

Confidentiality (Privacy) #

Client Confidentiality:  #

Denovo Agents shall maintain and protect the privacy and confidentiality of our clients, customers, and prospects. We recognize that individuals share sensitive personal and financial information with us during real estate transactions, and we treat that information with the utmost care and expect agents to be in compliance with the ethical and professional obligations under the NAR Code of Ethics and applicable laws. 

Company Confidentiality:  #

Proprietary information includes: Company financial information, mailing lists, client lists, business plans, and marketing strategies. Agents shall reasonably protect confidential information beyond the termination of any contractual relationship between Associate and Denovo Realty. 

Workspaces & Office Resources:  #

Desks  #

There are no desk fees. Denovo Realty provides desks, workstations, and shared office areas for agent use. These spaces are offered to support productivity, collaboration, and client service. All desks and work areas are available on a first-come, first-served basis. 

Conference Rooms  #

Conference Rooms are available for agents to hold meetings, client consultations, training sessions, and other professional activities. These rooms may be reserved, and all agents must follow the established reservation procedures to ensure fair and efficient access for everyone.

Lock Boxes  #

Denovo Realty utilizes Supra Electronic Lock Boxes as a courtesy to support secure property access during active listings. These lock boxes remain the property of Denovo Realty and must be used responsibly and removed promptly when listings expire, close, or are withdrawn.

Agents may also use their personally owned lockboxes if preferred, as long as they meet professional security standards and comply with MLS rules and local real estate regulations. 

Personal Assistants  #

Associates may utilize a personal assistant in their business. All personal assistants must be registered with Denovo Realty prior to performing any work related to the associate’s real estate activities. If a personal assistant requires their own access to brokerage systems, software, or accounts, the associate will be responsible for any additional fees associated with those accounts. Telephone & Floor Duty  #

Denovo Realty does not have  “floor” or “telephone”  duty. Incoming calls regarding a specific listed property will be directed to the listing agent. Non-listing specific leads are distributed by the Broker and Vice President. 

Weekend & Holiday Callers  #

During off-hours, Denovo uses SAS, a third-party call center, to monitor calls to the office, leaving messages for staff to receive and distribute when normal working hours resume. Denovo will distribute voicemail messages and inquiries to the appropriate agents within 24 hours of receipt. 

Sign Installs #

Denovo Realty will cover the cost of residential sign installation and removal for properties located within Brevard County. For properties located outside of Brevard County, Denovo Realty will credit the associate an amount equal to the standard cost of a Brevard County residential sign installation. Any additional costs associated with out-of-county sign installation or removal will be the responsibility of the associate. Denovo realty is not responsible for any commercial sign installation or costs associated with commercial signage
